Who do you keep information about?

We keep information about individuals to administer and enforce a variety of licences.

Why do you keep information about me?

We keep this information to administer and enforce the licensing of drivers, vehicles and operators in relation to the provision of taxi services, as well as applications for licences, permits and registrations to provide a range of regulated services. We do this because we have a legal obligation to do so. This legal obligation is set out in various pieces of legislation.

Who can see my information?

Access to this information is restricted to officers in the licensing team, except where the information forms part of a public register. We may also share this information with other organisations such as the Police, HMRC, other local authorities, the Cabinet Office as part of the National Fraud Initiative.

How do you store the information you keep about me?

Information is stored in a database and on the Council’s secure network. Where we hold paper copies, these will be stored in lockable filing cabinets.

How long do you keep information about me?

Information is usually kept for a period of 7 years after the license, permit or registration expires. This information is destroyed securely when we no longer need it.

How did the Council get my personal data?

In most cases the information is obtained from you or your representative. However, in some cases we may also receive information from other agencies such as the Police and Disclosure and Barring Service. We may also receive information from members of the public, where they raise a particular concern. If we receive information about you from someone other than yourself, we will inform you of the origin of the information within 1 month, unless that information is being used to contact you, in which case, that information should be provided to you at the latest, upon first communication with you. However, it is not necessary to provide that information in cases where you already possess the information, where recording or disclosure is expressly laid down in law or where provision of the information proves impossible or would involve disproportionate effort.

We may use the following information about you to make sure that we provide you with the right service, advice or support. We will only use the minimum amount of information necessary to do so and will take every reasonable step to ensure the information is accurate.
